What we collect
When you send an enquiry
- Your first and last name
- Your email address
- Your company name, if you give one
- Anything you write in your message (please don’t include sensitive information such as health details)
- The date and time you confirmed you had read this policy and our Terms
- Optional details you choose to give about your project: type, budget range and timeline
When we work with you
Emails, call notes, project details, and billing information needed to deliver and invoice our services.
When you visit the website
Our website is hosted on Amazon Web Services (AWS). To deliver pages and protect the site from attacks, AWS processes basic technical information such as your IP address, browser type and the pages you request. We don’t switch on access logging, so we don’t keep a record of individual visits. We don’t use analytics, advertising or tracking tools, and our fonts are served from our own server rather than a third party.
How we use it
We only use your data where the law gives us a valid reason (a “lawful basis”):

We won’t send you marketing emails unless you’ve separately asked us to, and you can unsubscribe at any time. We don’t sell your data, and we don’t make decisions about you using solely automated processing.
International transfers
Our Zoho account is hosted in Zoho’s EU data centre. The UK recognises countries in the EU and EEA as providing adequate protection for personal data.
If one of our providers processes data in a country the UK hasn’t recognised as adequate, we make sure appropriate safeguards are in place, such as the ICO’s International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses. Contact us for a copy of the relevant safeguards.
How long we keep it
- Enquiries that don’t lead to a project: [24 months] after our last contact with you.
- Client and project records: 6 years after the project ends, as required for tax and accounting purposes and to handle potential legal claims.
- Website visits: we don’t keep access logs. AWS processes technical data only as needed to deliver the site and keep it secure.
After that, we delete your data or anonymise it so it can no longer identify you.
Security
We use appropriate technical and organisational measures to protect your data. These include encrypted (HTTPS) connections, access to our CRM limited to staff who need it, and working only with providers that meet recognised security standards. No online transmission is ever completely secure, but if a breach affects your data, we will act promptly and notify you and the ICO where the law requires.
Your rights
Under UK data protection law, you have the right to:
- Access: get a copy of the personal data we hold about you
- Rectification: have inaccurate or incomplete data corrected
- Erasure: ask us to delete your data
- Restriction: ask us to limit how we use your data
- Objection: object to processing based on our legitimate interests, and to direct marketing at any time
- Portability: receive data you gave us in a commonly used, machine-readable format
- Withdraw consent: where we rely on your consent, withdraw it at any time
To use any of these rights, email hello@vantier.net. There’s normally no charge. We may need to confirm your identity, and we’ll reply within one month. For complex requests, we may extend this by up to two further months and will tell you if so.
Complaints
If you’re unhappy with how we’ve handled your data, please email hello@vantier.net first so we can try to put it right. We’ll acknowledge your complaint within 30 days, look into it without undue delay, and tell you the outcome.

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated at the top. If we make significant changes that affect how we use data we already hold, we’ll let you know.
